Dựng custom report: từ data source đến lịch chạy

Bài thao tác trung tâm của series: con đường từ “cần một báo cáo” đến “báo cáo chạy đều mỗi kỳ, đúng người nhận, đúng dữ liệu”.

Tạo report — 4 đường và các quy tắc nền

Tạo mới (Create Custom Report), copy standard report (chỉ loại Report Writer — loại XpressO không copy/sửa được), copy custom report, hoặc tạo từ một instance (Create Custom Report from Here). Quy tắc nền:

• Copy xong, sharing tự reset về “Don’t share” — nhớ share lại.
• Sửa report đã share, người khác thấy thay đổi ngay lập tức.
• Report “biến mất” khỏi search? Kiểm tra Hide Workday Delivered Report — có thể bản gốc đã bị ẩn có chủ đích.
• Temporary report hết hạn 7 ngày nhưng không tự xóa — phải chạy task Delete My/All Temporary Report Definitions; có domain ép user chỉ tạo được temporary (giữ tenant sạch).

Các nhóm option — điểm đắt giá từng tab

Filter: đánh giá theo thứ tự khai báo → đặt điều kiện chặn nhiều dữ liệu nhất lên đầu. Bộ operator instance có logic riêng dễ bất ngờ: với single-instance, gần như luôn dùng in the selection list (exact match/subset/superset có bảng chân trị đặc thù — blank là subset của mọi thứ). Muốn prompt bỏ trống = bỏ qua filter: thêm mệnh đề Or + superset of the selection list cùng field — mẹo kinh điển.

Prompt: prompt sinh ra từ filter (Comparison Type = prompt user); prompt Effective/Entry Date chỉ có với standard data source; Determine Value at Runtime cho ngày động (“N ngày trước hôm nay”) — linh hồn của report chạy lịch; từ 2026R1 có Control Prompt Values giới hạn giá trị prompt theo tầng.

Output: chart (Top N + gộp “Other”, target line, quadrant cho scatter), worklet options (dashboard nào, refresh mỗi lần mở hay mỗi phiên). Trước khi gắn worklet phải share report cho security group của dashboard.

Share: 3 mức — không share / mọi người đủ quyền / nhóm cụ thể. Share definition không vượt security — hai người mở cùng report thấy số khác nhau là đúng thiết kế.

Advanced: Optimized for Performance (chỉ field indexed), Background Only, Enable As Web Service (namespace phải unique nhưng Workday không kiểm tra — đổi namespace là request cũ gãy), Enable for Worksheets/Prism, facet options.

Fields & prompts — bộ đồ nghề tinh

Analytic indicator (icon/màu cạnh giá trị — điều kiện đánh giá tuần tự, hiện indicator đầu tiên khớp); prompt set (nhóm prompt phụ thuộc nhau — company → năm → kỳ — tái dùng cho composite/dashboard/report group); global field (biến dùng chung mọi data source); currency: web service không kèm ký hiệu tiền → bật Show Currency Code Column. Sort dùng ICU collation theo locale người chạy — cùng report, người Nhật và người Anh thấy thứ tự khác nhau.

Các luật phải thuộc: burst chỉ trên đúng 1 prompt field; map prompt set vào group là override toàn bộ saved filter values (map đủ required prompts); Excel template chỉ áp khi chạy schedule/background — bấm Export từ màn hình không áp; transfer ownership của scheduled report → sharing reset về không share; và điều quan trọng nhất: share scheduled output = người nhận thấy dữ liệu Y NHƯ người share, bất chấp security (chỉ share cho unconstrained group). Đừng đặt lịch trong cửa sổ Weekly Service Update — chạy dở lúc update bắt đầu là lỗi.

Quản trị

Thêm report vào menu (Maintain Custom Reports on Menus, ≤100 report), dịch report (Translate), transfer ownership (người nhận phải đủ quyền data source), tags (rdt: để search), và xóa — không khôi phục được ở production, bị chặn khi report còn dùng trong business form layout/BP step/report khác/schedule. Report Run History (bật mới ghi, giữ 6 tháng) và All Custom Reports with "Do Not Use" Items là hai báo cáo dọn dẹp định kỳ đáng đặt lịch.

Nguồn dữ liệu nâng cao (gộp)

Business view data source — Workday giao sẵn, trộn nhiều component data source (join/union) + curate field list; kế thừa security nguồn gốc; union field: người xem chỉ cần quyền một trong các domain là thấy field, nhưng ô từ nguồn thiếu quyền hiện (empty). Giới hạn nhớ kỹ: không dùng được cho WQL, dashboard, discovery board, drill-to, scorecard.

Extended indexed data source — nối thêm tối đa 20 field (calculated/ custom/chưa index) vào indexed data source; qua vòng duyệt (Custom Data Source Extension Approval Event) rồi Publish; job index chạy nền mỗi giờ; Workday tạo field trùng tên bản indexed — dùng bản đó để report giữ được Optimized for Performance. Đây là lời giải chuẩn thay cho custom data source Worker kiểu cũ.
